We’re looking for a Full-Time Bidding Producer to join our global team and help shape bids across creative, production, and post-production. This role sits at the heart of our sales and production process - translating creative ambition into clear, strategic, and accurate bids that win projects and build trust with clients.

As a Bidding Producer at Ajax Creative, you’ll collaborate with Executive Producers, Producers, and Post Producers to scope projects and develop comprehensive bids across live action and post. You’ll assess creative briefs, build estimates, anticipate production and post needs, and shape the financial and logistical strategy that drives each proposal. You’ll also lead vendor outreach to confirm rates and availability when markets or specialties are unfamiliar, and you’ll manage client correspondence related to bidding, revisions, and approvals.
This is a full-time, contract-to-hire role designed for a producer with strong production and post-production expertise, excellent financial instincts, and a deep understanding of commercial workflows.
Build, maintain, and update bid templates and cost breakdowns.
Prepare and present bids to clients, ensuring clarity, accuracy, and alignment with creative vision and scope.
Anticipate project needs and proactively identify risks, opportunities, and efficiencies within the bidding process.
Maintain CRM hygiene in HubSpot: track opportunities, stages, notes, and handoffs; ensure alignment with PandaDoc and Monday.com.
Manage communication with vendors, crew, and partners for accurate quoting and availability.
Maintain consistency across Ajax’s cost structures and rate cards to support transparent, scalable pricing.
Collaborate with production leadership to ensure bids reflect realistic schedules, resourcing, and logistical feasibility.
Support sales and production handoff once a project is awarded, ensuring a seamless transition from bid to pre-production.
